Job Description

Summary
The Healthcare Administrative Assistant, under the supervision of the Administrative Director will be
involved in all aspects of AADAP’s Administrative Operations. These positions will support routine
administrative operations, fundraising, fund development, human resource operations, compliance and Fiscal
Operations. This position is an excellent introduction to a healthcare nonprofit organization. The Healthcare
Administrative Assistant is a nonexempt position at the Entry Level. This position is expected to come into the
office and is to have a personal vehicle for possible in-person meetings or the transportation of packages and
documentation.

Role and Responsibilities
1. Assist with various clerical work including processing paperwork for administrative services and

supplies, donation processing memos, inventory tracking, sorting mail, etc.
2. Assist with the reception coverage duties: answering and transferring phone calls, greeting, and

assisting customers, accepting, and sorting deliveries and mail.
3. Assist in accounting filing, organization of documents and rotation of records.
4. Assist with agency records and file management systems.
5. Assist with meetings such as coordinating, scheduling, taking minutes and follow up.
6. Assist in maintaining the agency mailing list database including communication with donors and

vendors and updating contact information.
7. Assist in website, Social Media sites and E-newsletter efforts
8. Assist in the inventory and ordering of agency brochures and outreach materials.

9. Assist in the ordering of supplies for the agency: office supplies, furniture, facilities maintenance,
materials and services.

10. Assist in distributing the appropriate supplies to the agency’s various units and locations.
11. Assist in the preparation of annual fundraising events: Marathon Team, the 50th Anniversary Gala

Event, Charity Stream, Direct Mail, etc.
12. Provide back-up support for Administrative Director, Development Director and HR/ Corporate

Compliance Officer.

Qualifications and Education Requirements
1.REQUIREMENTS:

a. Two-year college education related to field OR equivalent work experience related to position.
b. Demonstrated knowledge and skill in computer operations.

Preferred Skills
Bilingual or bicultural capabilities with Los Angeles County threshold languages: Arabic, Armenian,

Cantonese, Farsi, Urdu, Khmer (Cambodian), Korean, Mandarin, Russian, Spanish, Tagalog,
Vietnamese, and other Chinese languages.

  • Knowledge in the layout and use of spreadsheet applications for budgets, and cost calculation and
allocation.
  • Experience in the development and use of the database applications.
General Requirements and Knowledge, Skills, and Abilities (KSA’s):
Permanent resident or U.S. Citizen; proof of work eligibility upon hiring.
  • Valid California Driver License and current automobile liability insurance.
  • Must have three (3) years of recovery or drug free lifestyle as of the date of the application.
  • Must provide proof of full vaccination and 1st Booster against Covid-19 upon hiring.
  • Ability to get along well with others, be punctual, pleasant, and tactful with professional appearance
and conduct.
  • Ability to establish and maintain effective working relationships with supervisors, coworkers, clients
and their families, community organizations, and the general public.
  • Ability to be culturally competent of age groups, gender identity, sexual orientation, spiritual beliefs,

socioeconomic status, and diverse cultures.

Physical Requirements:
Moderate Duty
This class requires that the incumbent stand or walk most of the time with bending, stooping, squatting,
twisting reaching, working or irregular surfaces, occasional lifting of objects over 25 pounds, and frequent
lifting of 10-25 pounds. Ascending and descending ladders and staircase will be more frequent. An example
is this position frequently will be moving and organizing agency supplies.
