Health Sciences North (HSN) is seeking an innovative leader for the position of Supervisor, Support Services, Support Servicers Department. The successful incumbent will enhance existing system and process design solutions, and explore new opportunities for improving efficiencies and operational standards. The candidate will collaborate with employees to ensure successful service delivery and customer satisfaction while maintaining a strong cooperative working relationship with all programs.


The successful candidate should have a minimum of a two (2) year Diploma in Business Administration or in a related field, from an accredited college. Addtionally, the successful candidate should have a minimum of three (3) years’ experience working within a unionized health care environment. Experience in policy development, labour relations, financial management, project management and training facilitation is preferred.

KEY FUNCTION:

Enhance existing system and process design solutions, and explore new opportunities for improving efficiencies and operational standards. Collaborate with employees to ensure successful service delivery and customer satisfaction while maintaining a strong cooperative working relationship with all programs.


REPORTING:

Under the general direction of the Director, Support Services.


DUTIES:

  • Assist with the development, implementation, maintenance, and evaluation of initiatives related to corporate goals, patient safety, and accreditation requirements in alignment with the strategic directions, performance standards, and performance targets defined in HSN’s strategic plan, annual quality improvement plan, and other key planning documents.
  • Develop, implement, and maintain departmental standards using best practices to ensure compliance with quality, safety, accreditation, and regulatory requirements.
  • Coordinate and supervise daily operations of switchboard, patient food services and environmental services and incorporate additional tasks as required.
  • Respond to both internal and external customer complaints; investigate, document, and address the concerns accordingly.
  • Direct scheduling as required to ensure that all departmental schedules are accurate, meet the needs of the departments, and comply with the Collective Agreement.
  • Maintain product and equipment inventory levels.
  • Meet with suppliers and recommend appropriate products and equipment.
  • Provide direction and feedback with contracted services as required.
  • Work collaboratively with management to ensure HSN’s staff needs are met with respect to modified work, sick time, and vacation.
  • Assume fiscal accountability of the departmental operation according to approved budget.
  • Ensure a safe environment for patients, staff and visitors; investigate report, debrief and take or direct corrective action as appropriate on incidents.
  • Manage human resources which include: recruitment, selection and training.
  • Oversee the work of others in compliance with the Occupational Health and Safety Act (OHSA), its regulations, and HSN policies.
  • Determine and align improvement projects with HSN’s Strategic Plan; monitor and adjust to achieve goal outcomes.
  • Participate in the accreditation process and work to ensure that the program and HSN achieve, maintain, and continually improve upon their accredited status.
  • Teach, coach and lead staff in the development and monitoring of quality indicators and improvement initiatives.
  • Engage in and foster professional development of all staff and provide opportunities for learning within budgeted resources.
  • Collaborate with internal and external stakeholders/organizations/community groups to achieve program objectives, integrate and link services, and foster partnerships across the continuum of service delivery.
  • Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
  • Represent the department or program on various committees and in meetings as required.
  • Perform other duties as required.

QUALIFICATIONS

EDUCATION AND TRAINING:

  • Minimum of a two (2) year Diploma in Business Administration or in a related field, from an accredited college.
  • Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.

EXPERIENCE:

  • Minimum of three (3) years’ experience working within a unionized health care environment.
  • Experience in policy development, labour relations, financial management, and training facilitation is preferred.
  • Training or recent experience with project management is preferred.

KNOWLEDGE/SKILLS/ABILITIES:

  • Demonstrated knowledge of financial concepts, quality improvement concepts, process improvement/ change management models, and associated tools and techniques.
  • Demonstrated ability to communicate effectively with all levels of staff, and build and maintain relationships with key internal and external stakeholders.
  • Demonstrated time management skills with the ability to deal with multiple priorities in a fast-paced, complex environment with tight deadlines, and competing demands.
  • Demonstrated project management and facilitation skills.
  • Demonstrated analytical and organizational skills.
  • Demonstrated ability to coach, advise and teach others using the principles of adult learning.
  • Demonstrated training, experience or utilization of lean methodology for process improvement.
  • Demonstrated ability to independently identify issues, plan improvements, measure success and continue improvement.
  • Demonstrated knowledge of relevant legislation and principles of management, hospital committee structure, conflict management and resolution, system needs analysis and organizational assessment.
  • Ability to use tact and discretion in dealing with health care providers and employees.
  • Demonstrated excellent computer skills with proficiency in Microsoft Office software (e.g. Word, Excel, Power Point and Outlook) and patient information systems.
  • Demonstrated superior interpersonal and communication skills, both written and verbal.
  • Demonstrated commitment to the safety of co-workers and patients.
